A useful parking-lot estimate starts with the area to repair and the way the property operates. Use this guide to prepare the site information before requesting pricing.

Mark the problem areas

Use a site plan or an overhead image to label potholes, broken edges, ruts, recurring settlement and standing water. Number the areas and match each one to a ground-level photo. Give approximate length and width where available. A single overall square-foot figure can hide a small repair that needs deeper base work or a separate entrance with different traffic.

Describe the traffic

Identify passenger parking, delivery routes, dumpsters, loading docks, truck turns and equipment storage. Include known vehicle weights or design information rather than calling every area heavy duty. The required pavement section should be confirmed for the intended use. Ask the proposal to state the aggregate and asphalt thicknesses it prices, including whether stated thicknesses are compacted.

Separate surface work from base repairs

A localized asphalt patch, a mill-and-overlay scope and full reconstruction have different removal and replacement limits. Share known soft areas and repeat failures so the underlying condition can be reviewed. Ask for a marked repair plan and a separate allowance or unit price if the extent of base correction cannot be established before excavation. Photos alone do not confirm the condition beneath the pavement.

Review water before resurfacing

Show where water collects and the nearby catch basins, curb openings and discharge points. Include photos taken after rain when available. Drainage repairs and utility-structure adjustments should be identified before the paving price is finalized. A new asphalt surface does not automatically correct an outlet problem, blocked structure or unsuitable existing grade.

Write down the access plan

Mark entrances, delivery windows, accessible routes, tenant parking and emergency access that must be maintained. Identify a contact who can coordinate notices and move vehicles before work begins. Ask for work zones and closure periods to be included in the construction plan. Reopening depends on the work, site conditions and contractor instructions; do not promise tenants a universal return-to-traffic time.

Make the finished scope clear

List sawcutting, pavement removal, disposal, base correction, asphalt, tie-ins, structure adjustments and topsoil restoration as applicable. Striping, signs, curbs, new concrete and landscaping need explicit responsibility. If the budget requires phasing, request separate prices for defined areas and ask how repeat mobilization affects the total. Send the marked plan, photos and target work window to Shawn for review.
