A practical checklist for comparable bids and a clearly defined construction scope.

1. Identify the site and the requested result

Provide the street address, owner or GC contact, project description and desired schedule. Describe existing conditions and include photos. For occupied properties, explain what must remain accessible and when the work can occur.

2. Send the current documents together

Include civil, grading, utility, foundation and septic drawings as applicable, specifications, soil reports, bid forms and all addenda. Identify the drawing revision date. If plans are preliminary, label them that way and list the quantities or design decisions still unresolved.

3. Ask for meaningful price breakouts

Useful line items include mobilization, clearing, excavation, exported material, imported fill, utilities, drainage, aggregate, asphalt and restoration. Specify alternates and allowances. State who handles survey/layout, testing, permits, specialty work and owner-supplied materials.

4. Give materials their own details

Aggregate size and section, fill depth, pavement thickness, tank specifications, pipe sizes and compaction requirements affect pricing. Use the project designer’s requirements. Do not substitute an unverified generic section when the intended vehicle loads or soil conditions need engineering review.

5. Confirm the proposal before scheduling

Review inclusions, exclusions, quantities, unit-price adjustments and assumptions with the contractor. Confirm inspection coordination, material availability, site access and the start sequence. Earliest availability is project-specific and is confirmed once the scope and schedule are reviewed.
